ABC Logbook Instructions

Main Screen:
This is the first screen you will see when you open ABC Logbook. It displays a list of all of the folders that have been created. Folders contain lists of groups, groups contain lists of individuals, and each individual has their own set of specific behaviors/events. Tapping the arrow to the right of the folder’s name takes you to the list of individuals. Tapping the arrow to the right of “Add new folder” (which will always appear at the bottom of the folder list) allows you to create a new folder.


Group List:
This screen displays a list of all of the groups contained within a folder. Each folder can contain an unlimited number of groups and each group can contain an unlimited number of individuals. However, only 9 groups will be displayed on the screen at one time. If more than 9 groups are contained within a folder you can use your finger and scroll up and down the screen to view all of the groups. Groups are collections of individuals and are defined by you. New groups can be created by tapping on “Add new group” which appears at the bottom of the group list. Examples of the types of groups you can create include schools, classrooms, homes, instructional settings, etc.


List of Individuals:
This screen displays the list of individuals contained within a specific group. Each group can contain an unlimited number of individuals. However, only 9 individuals will be displayed on the screen at one time. If more than 9 individuals are contained within a group you can use your finger and scroll up and down the screen to view all of the individuals. Tapping on the arrow to the right of an individual’s name will take you to a list of the specific behaviors/events you are taking data on for that particular individual. Tapping on “Add new individual” will allow you to add a new individual to the group.


Behaviors List:
This screen displays a list of all the behaviors/events you are taking data on for a particular individual. To record an occurrence of a behavior, first tap the name of the behavior and a red “submit” button will appear to the right of the behavior. Then, tap the “submit” button to complete recording the occurrence. If you tap a behavior by mistake and do not wish to submit an occurrence, simply tap the name of the behavior again and the “submit” button will go away. To view the log of all of the behaviors/events recorded for an individual tap the “Individual’s Log” button in the bottom left corner of the screen and you will be taken to another screen to view that information.


Commenting on a Behavior:
The make a comment or note about the behavior, tap the “comment” button in the bottom right corner of the “Behaviors List” screen. This will bring a pop-up menu from which you can choose from the following options: “Group Event” “Annotate Last Behavior,” or “Cancel.” If you choose “Group Event” you will be taken to a screen to type information about a group event. This event will appear in the “Group’s Log” as well as the “Individual’s Log” for every individual contained in that group. For more information on group events, see the detailed description of how to enter a group event.
If you choose “Annotate Last Behavior” you will be taken to a screen from which you can type more detailed information about the occurrence of the last behavior you recorded for that individual. After you have entered your comment, tap the “Save” button in the top right corner of the screen. This information will be added to the “Individual’s Log” with the behavior you just recorded.
To make a comment about a previously recorded behavior, go the “Individual’s Log.” Locate the behavior you wish to make a comment on by scrolling through the log. Once you have located the behavior, tap on it. You will be taken to a screen from which you can type more detailed information about the occurrence of that behavior. After you have entered your comment, tap the “Save” button in the top right corner of the screen. This information will be added to the “Individual’s Log” with the behavior you just recorded.


Individual’s Log:
This screen displays the log of all of the behaviors/events that have been recorded for a specific individual. At the bottom left corner of the “Behaviors List” there is a button labeled “Individual’s Log,” tapping on that button will bring you to the “Individual’s Log” screen. From this screen you can review the behaviors/events that have been recorded for an individual and you can make detailed comments about them. For more detailed information about making comments about behaviors/events see “Commenting on a Behavior.”


Group’s Log:
This screen displays the log of all of the behaviors and events that have been recorded for all of the individuals that are a part of a group. At the bottom left corner of the “List of Individuals” screen there is a button labeled “Group’s log,” tapping on that button will bring you to the “Group’s Log” screen.


Email Individual Data:
To email data that has been recorded for an individual first tap the “Individual’s Log” button at the bottom left corner of the “Behaviors List” screen. This will bring you to the “Individual’s Log” screen. Next tap the “Email These Data” button at the bottom left corner of the “Individual’s Log” screen. This will bring up a screen that displays a summary of all of the data that has been collected for an individual. Enter the email address of the person to whom you would like to send the data. The default subject is “ABC Log Export.” You may change this to make the data easier to identify (e.g., add the setting in which the data were taken). You can also add any additional notes about the session in the body of the email above the data summary. The email will be sent from the account that is associated with the handheld device you are using.
The data will be divided into three different sections. The first section is preceded by the heading “ABC Logbook, Data Export.” Here you can choose to include additional information about the title of the export, observer, setting, activity and any additional notes. Please note that if you choose to insert additional information you should be careful not to delete any of the commas, colons or any of the other text that is contained in the export.
The next section is preceded by the heading “Summary Data.” Next to “Total Behavior Count” you will see a brief summary of the total number of behaviors observed for the individual. Following that you will see a more detailed analysis of the specific behaviors observed. You will see the name of the behavior followed by the number of times it was observed, and the percentage of times that behavior occurred in comparison to the other behaviors being observed for that individual.

The third and final section in the data export is labeled “CSV Data.” Under this heading you will see a list of all of the behaviors and group events that have been recorded for an individual in reverse chronological order. This data can be exported into Microsoft Excel. For more information about how to export your data into Excel please see the “transferring data to Excel” section of cbtaonline.com


Email Group Data:
To email data that has been recorded for a group first tap the “Group’s Log” button at the bottom left corner of the “List of Individuals” screen. This will bring you to the “Group’s Log” screen. Next tap the “Email These Data” button at the bottom left corner of the “Group’s Log” screen. This will bring up a screen that displays a summary of all of the data that has been collected for all of the individuals in a group. Enter the email address of the person to whom you would like to send the data. The default subject is “ABC Log Export.” You may change this to make the data easier to identify (e.g., add the setting in which the data were taken, the name of the group). Email Date Range:
You can also email data for an individual or group for a specified date range. At the bottom right corner of the “Individual’s Log” screen or the “Group’s Log” tap on the button labeled “Email Date Range.” When you tap on that button you will be taken to a screen that displays a date wheel.
First choose a starting date by using your finger to scroll through the month, day and year. The date you select will be highlighted in blue (as illustrated below). After you have selected your starting date, tap the “Save” button in the upper right corner of the screen. You will be taken to another screen to choose and end date. The same process is used to select your end date as is used to select your starting date.
After you choose your end date and tap the “Save” button, you will be taken to the email screen to enter the address of the person to whom you would like the data to be sent.


Group Event:
Group events can be used to record a number of different types of activities. For example, an individual working in a classroom might choose to record a group event when a fire drill takes place, when a class goes on a field trip, when there is a substitute teacher, or when there is a change in classroom activities. Group events can be recorded by tapping the “Group Event” button at the bottom right of the “List of Individuals” screen.
When you record a group event, it will be added to the “Group’s Log” as well as in the “Individual Log” for everyone contained in that group.


Enter New Behavior:
To add a new behavior to the list of behaviors being recorded for an individual tap on “add a new behavior” on an individual’s “Behaviors List” screen. You will be taken to a new screen where you can type in the name of the new behavior you wish to record. After you have entered the name of the behavior tap the “Save” button in the upper right corner of the screen. If you tapped “add a new behavior” by accident, and do not wish to enter a new behavior for the individual, tap the “cancel” button in the upper left corner of the screen and you will return to the “Behaviors List” screen.
Please note: When you add a new behavior for an individual, a note will appear in that individual’s log to indicate the time and date the behavior was added for the individual.


Enter New Individual:
To add a new individual to a group tap “Add New Person” in the “List of Individuals” screen. This option will always appear at the bottom of the list of individuals. If you have more than seven individuals in your group, you may not see the “add new person” option right away. You may have to use your finger to scroll down the list until it appears. After you tap “Add New Person” you will be taken to a new screen where you can type in the name of the new individual you wish to add to the group. After you have entered the name of the individual tap the “Save” button in the upper right corner of the screen. If you tapped “Add New Person” by accident, and do not wish to enter a new individual to the group, tap the “cancel” button in the upper left corner of the screen and you will return to the “List of Individuals” screen.
Please note: When you add a new Individual to a group, a note will appear in that group’s log to indicate the time and date the individual was added to the group.


Enter New Group:
To add a new group, to a folder tap “Add New Group” in the “Groups List” screen. This option will always appear at the bottom of the list of groups. If you have more than seven groups in your folder you may not see the “Add New Group” option right away. You may have to use your finger to scroll down the list until it appears.
After you tap “Add New Group” you will be taken to a new screen where you can type in the name of the new group you wish to create. After you have entered the name of the group tap the “Save” button in the upper right corner of the screen. If you tapped “Add New Group” by accident, and do not wish to create a new group, tap the “Cancel” button in the upper left corner of the screen and you will return to the “Groups List” screen.


Create a New Folder:
To create a new folder, tap “Add New Folder” on the “Main” screen. This option will always appear at the bottom of the list of folders. If you have more than seven folders may not see the “Add New Folder” option right away. You may have to use your finger to scroll down the list until it appears. After you tap “Add New Folder” you will be taken to a new screen where you can type in the name of the new folder you wish to create.
After you have entered the name of the folder tap the “Save” button in the upper right corner of the screen. If you tapped “Add New Folder” by accident, and do not wish to create a new folder, tap the “Cancel” button in the upper left corner of the screen and you will return to the “Main” screen.


Editing and Deleting Behavior:
To edit the name of a behavior or to delete a behavior tap the “Edit” button at the top right corner of the “Behaviors List” screen.
To edit the name of the behavior, select the behavior you wish to change by tapping its name.
You will be taken to a screen that contains a keyboard where you can make changes to the name of the behavior. After you make the changes you wish to make tap the “Save” button in the top right corner of the screen.
You will be taken back to the “Behaviors List” screen. If you would like to edit the names of more behaviors tap the name of that behavior and repeat the steps outlined above. If you are finished editing the behavior names tap the “Done” button in the top right corner of the screen. To delete a behavior from an individual’s “Behaviors List” tap the “Edit” button at the top right corner of the screen. A red dot will appear to the left of the names of all of the behaviors. Tap the red dot next to the behavior you wish to delete and a red “Delete” button will appear to the right of the name of the behavior you selected. Tap the “Delete” button to remove the behavior from the individual’s list of behaviors.
A message will pop up asking you if you are sure you want to delete the behavior. If you want to delete the behavior tap the “Confirm” button, if you do not want to delete the behavior tap the “Cancel” button and you will be taken back to the “Behaviors List” screen.When you delete a behavior, the previously recorded data are NOT deleted. The data will still appear in an individual’s log. Deleting a behavior simply removes that behavior from the individual’s behavior list as an option for future data recording. Please note: When you edit the name of a behavior, a note will appear in that individual’s log to indicate the time and date the behavior was edited.


Editing and Deleting an Individual:
To edit the name of an individual or to delete an individual tap the “Edit” button at the top right corner of the “List of Individuals” screen.
To edit the name of the individual, select the individual you wish to change by tapping its name.
You will be taken to a screen that contains a keyboard where you can make changes to the name of the individual. After you make the changes you wish to make, tap the “Save” button in the top right corner of the screen.
You will be taken back to the “List of Individuals” screen. If you would like to edit the names of more individuals tap the name of that individual and repeat the steps outlined above. If you are finished editing the individual’s names tap the “Done” button in the top right corner of the screen. To delete an individual from a group tap the “Edit” button at the top right corner of the “List of Individuals” screen. A red dot will appear to the left of the names of all of the individuals. Tap the red dot next to the individual you wish to delete and a red “Delete” button will appear to the right of the name of the individual you selected. Tap the “Delete” button to remove the individual from the group.
A message will pop up asking you if you are sure you want to delete the individual. If you do want to delete the individual tap the “Confirm” button, if you do not want to delete the individual tap the “Cancel” button and you will be taken back to the “List of Individuals” screen. When you delete an individual, the previously recorded data for that individual are NOT deleted. The data will still appear in a group’s log. Deleting the individual simply removes that individual from the group list as an option for future data recording. Please note: When you edit the name of an individual, a note will appear in that individual’s log and in the group’s log to indicate the time and date the name was edited.

Tap the “Delete” button to remove the group from the folder.
A message will pop up asking you if you are sure you want to delete the group. If you do want to delete the group tap the “Confirm” button, if you do not want to delete the group tap the “Cancel” button and you will be taken back to the “Group List” screen. Please note: When you delete a group you are PERMENANTLY deleting all of the data contained within that group from the application


Editing and Deleting a Folder:
To edit the name of a folder or to delete a folder tap the “Edit” button at the top right corner of the “Main” screen.
To edit the name of the folder, select the folder you wish to change by tapping its name.
You will be taken to a screen that contains a keyboard where you can make changes to the name of the folder. After you make the changes you wish to make, tap the “Save” button in the top right corner of the screen.
You will be taken back to the “Main” screen. If you would like to edit the names of more folders, tap the name of that folder and repeat the steps outlined above. If you are finished editing the folder names tap the “Done” button in the top right corner of the screen. To delete a folder from the app, tap the “Edit” button at the top right corner of the “Main” screen.A red dot will appear to the left of the names of all of the folders. Tap the red dot next to the folder you wish to delete and a red “Delete” button will appear to the right of the name of the folder you selected. Tap the “Delete” button to remove the folder from the app.
A message will pop up asking you if you are sure you want to delete the folder. If you do want to delete the folder tap the “Confirm” button, if you do not want to delete the folder tap the “Cancel” button and you will be taken back to the “Main” screen. Please note: When you delete a group you are PERMENANTLY deleting all of the data contained within that folder from the application.


Export Group Configuration:
Once you have set up a group configuration you may wish to have the same configuration on multiple devices or share it with another individual (e.g., consultant, classroom teacher) so that they can also take data on the same individuals and behaviors you are without needing to re-type everything on their device. ABC Logbook lets you easily export any group configuration.
To export a group configuration click on the “Edit” button at the top right corner of the “Group List” screen. Select the group whose configuration you wish to export by tapping its name (note: do not tap the red button beside the name of the group, that button is used for deleting the group). You will be taken to the “Edit” screen. At the bottom left corner of the screen tap the “Export Group Config” button. On the next screen enter the email address of the individual(s) to whom you would like to send the configuration. The default subject is “ABC Log Group Config Export.” If you wish, you may change this to help make the information easier to identify for the recipient. You can also add any additional notes for the recipient in the body of the email. The email will be sent from the default email account that is associated with the handheld device you are using.
Please note: configurations that use the special characters: ", ', &, within it's group, individual, or behavior names will not import successfully. A future update will resolve this incompatibility.


Export individual Configuration:
Once you have set up an individual’s configuration you may wish to have the same configuration on multiple devices or share it with another person (e.g., consultant, classroom teacher) so that they can also take data on the same behaviors you are. Duplicating Group Configuration:
Once you have set up a group configuration you may wish to use the same configuration for another group. Within ABC Logbook you can duplicate group configurations. This feature was designed to save you time creating configurations for groups.
To duplicate a group’s configuration click on the “Edit” button at the top right corner of the “Group List” screen. Select the group whose configuration you wish to duplicate by tapping its name (note: do not tap the red button beside the name of the group, that button is used for deleting the group). You will be taken to the “Edit” screen.
At the bottom left corner of the screen tap the “Duplicate Group Config” button.
A menu will pop up asking you if you wish to import the group. Click on the “Import” button to duplicate the configuration.
You will be taken to a screen that shows a list of the folders contained within the app. Choose folder in which you wish to put the group configuration by tapping on the folder’s name. After you have duplicated and imported the group’s configuration, you can change the name of the group by following the steps outlined under “Editing/Deleting a Group.” Please note: When you duplicate a group configuration, only the individuals and behaviors are duplicated. Previously recorded data for the group are not duplicated.


Duplicating Individual Configuration:
Once you have set up an individual’s configuration you may wish to use the same configuration for another individual. Within ABC Logbook you can duplicate an individual’s configuration. This feature was designed to save you time creating configurations for individuals.
To duplicate an individual’s configuration click on the “Edit” button at the top right corner of the “List of Individuals” screen. Select the individual whose configuration you wish to duplicate by tapping its name (note: do not tap the red button beside the name of the individual, that button is used for deleting the individual).
You will be taken to the “Edit” screen. At the bottom left corner of the screen tap the “Duplicate Person Config” button.
A menu will pop up asking you if you wish to import the individual. Click on the “Import” button to duplicate the configuration. If you do not wish to duplicate the configuration tap the "Cancel Button."
You will be taken to a screen that shows a list of all of the folders and groups contained within the app. Choose the group in which you wish to put the individual’s configuration by tapping on the group’s name. After you have duplicated and imported the individual’s configuration, you can change the name of the individual by following the steps outlined under “Editing/Deleting an Individual.” Please note: When you duplicate an individual’s configuration, only the behaviors are duplicated. Previously recorded data for the individual are not duplicated.


Importing Group or Individual Configurations:
To import a group or individual configuration that has been emailed to you, open the mail program on your handheld device. Then open the email containing the group configuration. Tap the blue link contained in the email that says “Tap Here to Import Configuration.” Tapping on this link will open ABC Logbook. A menu will pop up asking you if you wish to import the group. Click on the “Import” button to import the configuration.

When importing a group configuration, you will be taken to a screen that shows a list of the folders contained within the app. Choose folder in which you wish to put the group configuration by tapping on the folder’s name.

When importing an individual configuration, you will be taken to a screen that shows a list of all of the folders and groups contained within the app. Choose the group in which you wish to put the individual’s configuration by tapping on the group’s name.
